Talent Pool — functional guide

Use talent pools to maintain a named population of employees for talent management and People Review assignment. A pool can contain manually selected members and members selected by rules. Pool membership is distinct from granting a role or defining a visibility group.

This guide covers HR and authorized managers. Configuration explains access and administration; technical describes the implementation.

Pool access and available actions depend on your organization’s setup and your role. Ask your administrator if the Talent Pool entry or an action described here is unavailable.

Before you begin

TermMeaning
Talent poolA named employee population with a description, membership and creation information.
Manual selectionAn explicit selection of employees maintained by an authorized operator.
Dynamic selectionRules evaluated against employee attributes to maintain membership.
Added viaMembership origin displayed in the members table: Manual, Dynamic, Import or Group, as represented by the frontend. Not all origins have a creation workflow in this screen.
OwnerThe interface displays the creator in its Owner field. The API also has a separate owner property; see technical.

Your organization must enable the redesigned admin space and give your role the required Talent Pool permissions. Seeing the menu does not establish permission to create, edit or change members. Employee records and the fields used in dynamic rules must already be available.

Manage talent-pool membership

Find a pool

From the manager workspace, open Mobilité → Talent Pool. The embedded list and controls are in English; menu labels can vary with workspace language and navigation.

  1. Enter part of the pool name in the search field.
  2. Review the pool name, number of members, Owner and creation date.
  3. Select a row to open the pool.
  4. Use pagination to inspect additional results, or clear the search to return to the wider list.
ControlInput, initial state and effect
Pool searchSingle text field, initially empty. Sends a title “contains” filter, rather than searching descriptions or member names. Search changes fetch results; no business data is saved. Clear the field to remove it.
Column sortingPool name, member count, Owner and creation date can be used to reorder the list where available. Sorting changes the displayed order, not membership; Owner refers to the creator.
PaginationInitial page 1; the frontend requests 50 pools per page. Changing page fetches another result page.
Create a talent poolAvailable with create permission, including the empty-pool state. Opens a form.
DeleteAvailable with delete permission; opens confirmation. Do not use it as a substitute for removing an individual member.

Illustrative example: search for a distinctive part of an approved pool title to locate that pool. Searching an employee's name here does not search the members of every pool.

A filtered empty result offers a reset action. An empty unfiltered list instead offers creation to authorized users. Neither state proves that pools do not exist outside the account's accessible context.

Create a pool

  1. Open Mobilité → Talent Pool in the manager workspace, then choose Create Talent Pool.
  2. Enter Name of the talent pool. The name is required; submitting it empty displays Please enter a name for the talent pool.
  3. Enter an optional description of the population and its purpose. The form shows a 500-character description counter.
  4. Choose Confirm. Return to the list and open the new row.
  5. Check the saved title, Owner, creation date and member state before adding employees. A newly created empty pool is a saved pool, not a completed membership selection.

Read pool information and members

The pool detail separates information from membership.

  1. Review the description, creator information and creation date.
  2. Read Members and inspect the membership origins and added dates.
  3. Use member search or pagination to locate an employee. Reset search to remove its restriction.
Control / informationBehavior
Member searchSingle clearable text input. Searches member username with a contains filter after a 300 ms delay. It starts at page 1 and clears current removal selection when changed. It does not add candidates.
NameIdentifies the member; sortable through the member API.
Added viaShows the recorded membership origin.
Added dateFormats membership creation time in the interface locale; do not interpret it as employment start date.
Select allSelects the currently loaded page for removal, not every result across all pages. Requires remove permission.
Reset searchClears member search, resets page 1 and clears removal selection.
Add membersOpens the selection modal when add permission is present.

Searches and sorting only change the displayed list. Adding, editing and removal require their respective final actions. Check the refreshed member list and count after a successful change.

Add members manually

  1. Open a pool and choose Add members.
  2. Use Manual selection to find candidates.
  3. Select the intended employees. Review the separate selected-users panel, removing accidental selections before continuing.
  4. Choose Confirm only after reviewing the population in both panels.
  5. Reopen or refresh the members list and check the result.
Candidate controlChoices, clearing and effect
SearchInitially empty text; passed to the user-list search. Do not assume the same search scope as the pool-title or member-name search. Clear the text to broaden the list.
StatusInitially no restriction. Choices are the neutral Status entry, Active and Inactive. Selecting a choice immediately fetches candidates. This filters employee status, not the pool's Active/Archived API status.
ManagerSearchable multi-select populated from available managers. No manager is selected initially. Changing the selection refreshes candidates; remove selected values to clear the filter. Review the returned list when using more than one manager.
Sorting / paginationName and job presentation, with user-list sorting and pages. Initial candidate page size is 50. Candidate totals come from the user API before local exclusion of already-loaded members.
Row / header checkboxesAdd individuals or the current page to the selection panel. Deselecting the header removes current-page candidates from that panel. Other-page selections can remain.
Selected-users panelHolds the pending manual selection. Removing someone here changes the pending list, not an existing pool membership.

Candidate search, status and manager filters are sent together. Their complete server combination semantics were not traced; use the returned list to verify the intended population. The frontend excludes the currently loaded member IDs, which is not proof that all existing members on every page are excluded.

Illustrative example: select Active to focus on active employees, narrow by an approved manager, then review each selected employee. Filters do not automatically enroll all matching candidates.

Use dynamic selection

Dynamic selection is available in the member modal only when your role also has update permission. The available field catalogue depends on your organization’s configuration. In the rule editor, choose employee attributes, operators and values, and review the preview before saving a rule. A preview with no matches means the current criteria match no available employees; adjust the criteria or check that the relevant profile data is populated.

  1. Open Dynamic selection.
  2. Define the available employee fields, operators and values.
  3. Examine the preview and the rule’s AND/OR conditions before saving.
  4. After asynchronous processing, reopen the pool and check its membership. The preview or an immediately refreshed count does not establish completion.

AND requires the enclosed conditions to match together; OR accepts an alternative. Do not infer the relationship between separate sections from their visual layout: the current frontend sends root sections as an array, and the backend documents root expressions as AND. See configuration for the rule scope and validation cautions.

A dynamic rule is stored configuration, unlike a temporary candidate filter. Rule processing can add matching employees and remove rule-created employees that no longer match. Processing is asynchronous after a rule change; do not expect the preview or an immediately refreshed count to prove completion.

Remove members or edit a pool

Use Edit on the information panel to change the name or description when permitted, then save. Creation and editing details are in configuration.

For manual members, use the row removal action or select members and choose the bulk removal action, then review confirmation. The server rejects direct removal of dynamically added members; review the governing rule instead. Selecting a mixed manual/dynamic population for bulk removal can fail validation.

Read-only pools cannot be updated, deleted, or have members added or removed. Pool deletion is a separate action from member removal. Check your organization’s retention policy and linked campaigns before deleting a pool.

To change the description:

  1. Choose Edit in Talent Pool Information.
  2. Enter the description and choose Save.
  3. Reopen the pool and read the description again. A success alert alone is not the persisted record.

To remove a manual member:

  1. Select the intended row in Members.
  2. Choose Remove all selected members; the action includes the number selected.
  3. Review Remove selected members and confirm the count before choosing Proceed.
  4. Reopen the pool. The removed row should be absent; removing the last member returns No members yet while retaining pool information.

Use a pool in People Review

Use a talent pool to add its members as reviewees when assigning people to a People Review campaign.

  1. In the admin workspace, open People Review → Campaigns and create a campaign or open a campaign you are authorized to update.
  2. Go to Review assignment and choose the Talent Pool tab (Add reviewees by Talent Pool).
  3. Search or sort the pool list, then select the pool or pools to include. Review each pool name and member count in the selection panel before continuing.
  4. Save the campaign assignment. Reopen the assignment view and confirm the intended pools and reviewee population appear.

Changing membership in a pool that is already linked to a campaign can change campaign participants. Coordinate with the campaign owner before changing a linked pool, then review the campaign’s participant list after the membership update has propagated.

Talent pools and personal space

Talent Pool is managed in the admin workspace. Employees may be included in a pool without having permission to administer it. Contact the authorized HR owner to ask about pool membership; membership does not itself grant access to roles or confidential views.

Troubleshooting and FAQ

SituationWhat to check
Menu missingHybrid activation, legacy menu right and redesigned read permission; see configuration.
Can read but cannot add/editAdd-member and update permissions are independent. Dynamic selection additionally depends on update permission.
No search resultCheck whether you are searching pool titles, members or candidates, then clear the relevant field.
Removal failsCheck dynamic membership and read-only restrictions before retrying.
Selection succeeded but rules failedManual additions and rule updates use separate requests. Refresh membership before retrying; do not assume an error undid earlier changes.
Dynamic count seems staleAllow background processing and ask the platform team to inspect processing failures if it remains inconsistent.
Is a pool a role? No. Role assignment and visibility groups are separate administration concepts.

Access and support

If an action is unavailable, ask your administrator to check Talent Pool access and the permissions assigned to your role. For dynamic membership or campaign synchronization questions, contact the platform owner or the People Review campaign owner.

Interface generations

Talent Pool can be accessed through legacy manager navigation and redesigned administration. The available read, edit and membership actions depend on the entry point and assigned permissions. Use the authorized pool-management screen for changes and review the affected People Review campaign when a pool is linked to it.
